Purpose of the role:
The Associate, Facilities Assistant role will provide Front of House support for the business and as Receptionist will provide a friendly, welcoming and responsive front of house support service to anyone entering the building.
Responsibilities:
- Provide comprehensive, full time reception cover between the hours of 07:45am and 18:00pm (on a 35 hour week rota pattern), Monday to Friday
- Handle any incoming/outgoing telephone calls via the cisco switchboard(s) telephone system, ensuring calls are answered and announced appropriately, directed/re-directed and fielded accordingly where necessary, providing accurate message taking and timely onward communication
- Actively manage diary appointments in line with the Microsoft Outlook meeting room schedule planner, booking (where required), accepting and rescheduling meeting appointments as necessary
- Act as the first point of contact for all, ensuring a warm, friendly and professional welcome is provided at all times. Escort such individuals to and from meeting rooms, ensuring the offer of refreshment is always made
- Ensure any visitor requirements are managed professionally and timely
- Stringently monitor visitor access and maintain security awareness of staff movements in and out of the building - no tailgating
Skills required:
- Previous experience of working in a client focussed/customer service oriented front of house environment essential
- Proven experience of working as a Receptionist for a professional financial services business, highly desirable
- Ability to function, or quickly adapt to the workings of a cisco telephone switchboard essential
- Working knowledge of MS Word, Excel and Outlook (specifically for diary management and room booking facilities) essential
- General competency in the use of the internet, printers and document scanning equipment, and room bookings across multiple jurisdictions/time zones, a must
