Assistant Bookkeeper & Administrator

Purpose of the role:

Supporting the operation and function of a private family office, including both family and personal spending as well as some property management in relation to utilities. Ensuring that all operational procedures are correctly executed and complied with.

Responsibilities:

  • Preparing and sending payment files to the processing team at the correct time in order to meet payment deadlines
  • Following correct procedure for authorisation and verification of all payments
  • Maintaining the books and records of the entity including the completion of key reconciliations and preparation of accounts
  • Ensuring all invoice/transactions are settled in a timely manner
  • Processing expenses and liaising with relevant parties for both approval and to solve any issues or discrepancies that arise
  • Filing all paperwork in an orderly manner
  • Completing any other adhoc projects or requests as requested by Management

Skills required:

  • Ability to multitask and manage numerous tasks or deadlines at one time
  • Strong ability to maintain confidentiality and ensure that the identity of and information is not divulged
  • Good ability to use Excel and other Office software
  • Knowledge of D365, Business Central and Concur would be of benefit
  • Good organisational skills and the ability to prioritise according to different levels of urgency
  • Good communication with both internal and external parties
