Administrator - Fiduciary - Jersey

About the role:

The purpose of the position is to work closely with the manager to assist them with all aspects of administration and client service in accordance with company policies and procedures.
The role will require regular interaction with staff at all levels across the Group, clients and third party service providers and advisors.

Responsibilities:

• Opening bank accounts and processing bank payments across a variety of banking platforms in conjunction with the Payments Processing team.
• Dealing with routine client and bank queries and correspondence, including monitoring of transfer instructions.
• Completion of funds acceptance forms to correctly record receipt of funds.
• Liaising with bankers.
• Assisting other colleagues within the company with queries they may have on clients.
• Liaising with compliance and statutory departments to ensure the upkeep of client due diligence and corporate statutory records.
• Preparation of general letters and e-mails.
• Preparation of minutes, board packs, basic agreements, Power of Attorneys and other documents including Letters of Wishes and draft deeds and arranging relevant sign offs.
• Arranging corporate documents to be notarised and legalised, where necessary.
• Completion of periodic and annual reviews.
• Assist with or compile packs regarding new business.
• Provide day-to-day administration support to the reporting manager/director.
• Responsibility for the administration of client entities, comprising Trusts, Partnerships and Corporate structures, including internal compliance responsibilities (KYC, file reviews, etc.).
• Transaction management for asset purchases, financings and disposals, including liaison with third party advisers.
• Day-to-day communication with clients and their advisers through letter, e-mail, telephone & video call.
• Occasional attendance at client meetings and note taking.
• Additional responsibilities as required such as photocopying, scanning and assisting administrators and managers with ad hoc projects; Time sheet management, billing and cash collection.

Requirements:

• Proven experience as an administrator in financial services;
• Basic knowledge of the Jersey legal and regulatory environment and in particular regulatory guidance and the AML/CFT Handbook;
• Basic familiarity of FATCA and CRS as they relate to client entities and reporting; and
• Entry level qualifications relating to Trust and/or Corporate administration would be beneficial.
